Position Title : Maintenance Assistant - Power Plant (Administrative Assistant)

Department/Location: Office of Chief Ops Officer; Antelope Valley Station (Beulah, ND)/Leland Olds Station (Stanton, ND)

Position Purpose:

This position provides essential support and works closely with the Maintenance section to maintain all safety, Energy Coalition for Contractor Safety (ECCS), and drug screen records; provides customer service for all employees regarding safety related items; and is responsible for working with outside entities and vendors.

Essential Functions:

  • Ensure accurate information is entered into the Contractor Time Entry System at the Antelope Valley and Leland Olds Stations and Asset Suite database. Ensure accurate entry of all contractor and equipment numbers and crafts. Assist contractor timekeepers using the time entry system, ensuring employees, contract releases, and work order information is accurate.

  • Work with procurement to ensure all needed documentation is included for processing contract releases. Assist Basin Electric Power Cooperative (BEPC) accounting in reconciling contractor invoices to ensure all information is correct before invoices are processed so that timely payment is made to contractor.

  • Ensure that contractors will have all requirements and regulations met prior to coming on site for maintenance projects.

  • Complete all work request updates, progress information, completed projects, work histories, work management updates, and issuing required reports within the computerized maintenance management system (CMMS).

  • Assist in the updating of Catalog Id’s in Asset Suite, as well as creation or data entry into reducing stock levels down to appropriate levels.

  • Assist the Planning and Scheduling team with all plant equipment data entry and with adding new equipment into the CMMS. This involves manipulating data in Excel to upload into Asset Suite while ensuring data is accurate. Make equipment additions, updates, and deletions as requested by individual planners and schedulers.

  • Compare estimated work time to actual work time and investigate the cause of significant discrepancies on work tasks. Relay findings to the supervisor for resolution of personnel problems or equipment changes.

  • Ensure compliance with North American Electric Reliability Corporation (NERC) standards, including tracking all Preventative Maintenance (PM) and correcting them to ensure compliance.

  • Assist with non-technical responsibilities of maintenance planners and schedulers in their absence.

  • Maintain contact with Maintenance Planner/Schedulers, Operations, and Maintenance supervisors and their assistants, BEPC accounting, Warehouse, and Procurement personnel to maintain AVS/ LOS maintenance records.

  • Maintain up-to-date technical and parts documentation for maintenance projects, update work packets, generate reports, and answer routine inquiries. Maintain all documentation and recordkeeping of completed projects.

  • Attend all department meetings and safety meetings, as necessary.

Qualifications:

  • Two-year degree in business, administrative assistance, or a related field, and three years of related office/administrative assistance experience; OR

  • High school diploma or equivalent (GED or HSED) and five years of related office/administrative assistance experience.

  • Knowledge of time entry procedures and maintenance terminology.

  • Proficient with personal computers, including Microsoft Word, Outlook, and Excel.

  • Able to work with minimal supervision.

  • Excellent written and verbal communication skills.

  • A valid driver’s license.

Typical Physical/Mental/Environmental Demands:

This position requires frequent sitting and standing/walking; and occasional reaching below and above shoulder level, use of keyboard/computer, bending, kneeling, lifting/carrying up to 50 pounds, and pushing/pulling up to 20 pounds. It also requires finger dexterity and hand coordination. This position requires good hearing and vision, and the ability to speak. It also requires the ability to develop plans, procedures and goals; present information to others; and work under stress to complete projects within deadlines. Working conditions may include chemicals and noise; and occasionally extreme heat/cold, dirt/dust, fumes, vibration, and electrical risks. This position must be respirator qualified. The incumbent may occasionally work in confined areas, at heights up to 300 feet, and be required to work under stressful conditions. Tools and equipment operated include office equipment, testing equipment such as probes, and motor vehicles. The incumbent uses small hand tools and testing equipment. This position must have the ability to analyze data/reports, conduct research, and present information to others. Other equipment includes a computer, calculator, facsimile machine, photocopier, scanner, two-way radio, and gai-tronics. This position must be able to operate a motor vehicle.
